Terms & Conditions

These Terms & Conditions outline how appointments, services, and information are managed at our clinic.

By booking or attending an appointment, you agree to these terms.

1.  Appointments

We schedule appointments carefully to allow enough time for each patient and to maintain high clinical standards.
Please arrive 10 minutes early to complete any paperwork and payment.

  • All scans require a referral from a registered healthcare provider (GP, specialist, midwife, physiotherapist).

  • Some scans require specific timing or preparation; we will advise you if this applies.

Our separate Missed Appointment, Cancellation & Lateness Policy explains what happens if you are late, need to change your appointment, or do not attend.

2.  What to Expect During Your Scan

  • Ultrasound is a safe, non‑invasive imaging method.

  • Your scan will be performed by a qualified, NZMRTB‑registered sonographer using high‑quality, regularly maintained, and quality‑assured equipment.

  • All examinations follow industry‑standard protocols, including the New Zealand Obstetric Ultrasound Guidelines, RANZCR Standards of Practice, and other recognised clinical frameworks relevant to each scan type.

  • We follow Ministry of Health infection‑control guidelines, including cleaning and disinfection between patients.

  • Not all findings can be fully assessed in a single appointment. You may be advised to return for follow‑up imaging or see your GP or specialist for further care.

3.  Clinical Limitations

Ultrasound has limitations, and not all conditions can be detected.

Image quality can be affected by factors such as:

  • body habitus

  • bowel gas

  • an empty bladder (when a full bladder is required)

  • fetal position

  • movement

  • clinical complexity

Some findings require correlation with other tests or clinical assessment.
Your scan is not a substitute for medical advice from your GP or specialist.

4.  Fees & Payment

  • Fees are listed in New Zealand Dollars (NZD) and include GST.

  • Payment is required on the day of your appointment unless arranged otherwise.

  • Pregnancy scans are reduced to $30 for Community Services Card holders. We must sight your valid Community Services Card or the digital card in the MyMSD app at the time of your appointment to apply this discount. 

  • Additional fees may apply under our separate Missed Appointment, Cancellation & Lateness Policy.

5.  Privacy & Your Information

We follow the Privacy Act 2020 and the Health Information Privacy Code 2020.

  • We collect only the information needed to provide your care and manage your appointment.

  • Your information is stored securely and accessed only by authorised staff.

  • We may share relevant information with your GP, midwife, or specialist when clinically appropriate or required by law.

  • You may request access to, or correction of, your health information at any time.

  • We do not sell or disclose your information to third parties for marketing.

6.  Website Information

  • Information on our website is for general guidance only and may change without notice.

  • Website content should not replace medical advice from your healthcare provider.

  • All website content is the property of the clinic and may not be copied or reproduced without permission.

  • External links are provided for convenience; we are not responsible for the content of other websites.

7.  Cookies & Basic Website Security

  • Our website may use basic cookies to improve functionality (e.g., remembering preferences or enabling online forms).

  • These cookies do not collect personal health information.

  • We take reasonable steps to keep our website secure, but we cannot guarantee uninterrupted access or freedom from malware on external sites.

8.  Liability

We take all reasonable care to provide safe, accurate ultrasound services.
Except where required by New Zealand law, the clinic and its staff are not liable for loss, injury, or damage arising from:

  • factors outside our control (e.g., clinical limitations of ultrasound)

  • incomplete or inaccurate information provided to us

  • failure to follow medical advice or recommended follow‑up

9.  Agreement to These Terms

By booking or attending an appointment, you acknowledge that you have read and agree to these Terms & Conditions.
